Refund and Return Policy

This policy applies to purchases from Birch & Basalt Co. (birchandbasaltco.com). Because our products ship directly from manufacturers and authorized suppliers, specific terms — return windows, restocking fees, and who pays return freight — vary by manufacturer. The framework below is our general policy.
Return eligibility
To be eligible for a return, an item must be unused, uninstalled, and in its original condition and packaging, including all parts, accessories, and manuals. Requests must be made within 30 days of delivery. Certain items are non-returnable (see below).
How to start a return
Email us at support@birchandbasaltco.com with your order number to request a return. Do not ship an item back without authorization. We will provide return instructions and a Return Merchandise Authorization (RMA). Unauthorized returns may be refused.
Return shipping costs and restocking fees
For large and freight items, you are responsible for return shipping costs unless the item arrived damaged or we made an error. A restocking fee of up to 25%, depending on the product and manufacturer, may apply in accordance with the manufacturer's policy. Original shipping costs are non-refundable.
Non-returnable items
• Custom, made-to-order, or special-order items
• Clearance or final-sale items
• Items that have been used, installed, or assembled
Order changes and cancellations
If you need to change or cancel an order, contact us as soon as possible. Before an item ships, we can usually cancel or modify it at no cost. After an item ships, a cancellation is treated as a return and freight and restocking fees may apply. Made-to-order items already in production may not be cancellable.
Damaged or defective on arrival
Freight items must be inspected at the time of delivery. Before signing, check the packaging and item for damage. If you see any damage, note it on the delivery receipt or bill of lading, photograph it, and report it to us within 24 hours. Keep all original packaging and do not discard it. We will coordinate a replacement or repair with the manufacturer. (See our Shipping Policy for delivery details.)
Manufacturer warranty
Defects discovered after delivery and acceptance are handled under the applicable manufacturer's warranty. We will help facilitate warranty claims with the manufacturer.
Refunds
Once a returned item is received and inspected — or once the manufacturer authorizes a refund — we will process a refund to your original payment method within 5-10 business days. Original shipping charges, return freight, and any restocking fees may be deducted. If a return does not meet the conditions above, we will notify you and the item may be returned to you.
